ACCOUNTS RECEIVABLE MODULE
In the Accounts Receivable module of DJ Wizard you can create memos and invoices,
control your client information, input received payments,
and improve your relationship with clients with the contact manager.
In the Memorandum form you can do the following:
- Enter the delivery number to track the actual Memo number your client has. This is how you can track Memos given by a salesperson on the road.
- If you wish, you can add a general note to your client on the Memo.
- Type in the Client's account No. or phone number and his records will appear automatically. Or search a Client by his (partial) company name or phone. Just type the first few characters and a matching list will appear. Then choose the desired client.
- A shipper name will be entered. The cost of shipping may be entered automatically. Enter the Lot or Jewelry stock No., and if it is in stock, it will automatically fill up the rest of the information for you. The price you get is Client sensitive and is based on the type of Client the current Client is.
- You can always overwrite the default amounts. If you do not know the item number, click the Find Lot button and search for it. A list of all matching items will be displayed for you to apply one.
- Pay Salesperson commissions from total sale amount or from profit. Define 2 sets of commission percentages (diamonds and jewelry) for each salesperson.
- Once a sale is made or merchandise On-Memo returns, click a button on the Memorandum to open the form for posting actual sales or returns. As you do so, you get the chance to review and verify profit after commission. You can adjust the commission percentage for each memo or change anything about Salesperson commissions.
- Put merchandise On Memo even if it is not in your office. The salesperson from whom the merchandise has been taken is automatically being credited.

In the Invoice form you can do the following:
- Spread installments over up to 8 payments. Just enter terms in days (30,60,90) and the dates and amounts will be calculated for you. You can override both amounts and dates as you like.
- The discount label disappears, if discount is not entered. You can type in percentage or amount of discount and the label reappears. Discounts are prorated based on the original rate, if part of the merchandise is returned.
- Return merchandise or part of it at any time with a click of a button. If you make a mistake, it is never too late to correct it by easily reversing the action.
- Correct any erroneous data at any time with a click of a button. You may delete an item, add another, or change the amounts and prices at any time. Even after the merchandise was posted as sold you may cancel the entire invoice.
- Create Credit Invoice for returned merchandise.
- Print an Invoice (or Memo) on a plain paper or on a pre printed form on your laser printer or any other printer with or without copies.

In the Client Information form you can do the following:
- Keep track of anything essential about your Clients. Input multiple shipping addresses for a client or as many store numbers for a chain stores as you like. Enter up to 8 different phone numbers. Use the special fields on the Client Form for these, or enter a permanent note of virtually unlimited size.
- Find a Client's Status with a click of a button. Instantly, you will get a list of all the merchandise presently with this Client, the total dollar amount of outstanding invoices, On-Memo merchandise and credit balance.
- Business History tells you how a Client is rated both by the JBT system and your own experience with this Client. JBT rating codes are translated into plain English, and your own records will show how this Client actually paid to you. This information is summarized for you to show you how many times the Client paid on time or was 30, 60, 90 or more days past due. This information affects the Clients credit rating in your system and may suggest you to adjust his credit limit.
- To review a Client's payments record in detail, just click the "Show Payment Record" button.

In the Received Payments form you can do the following:
- Easily find a Client and open their "Due Invoices" and select the Invoice for which you want to apply the payment. The Received Payments table will appear with this invoice number and amount due for you to apply the payment.
- You may click a button to record full payment of the amount due for the Invoice. Otherwise, you can enter any portion of it as many payments as you wish to enter on the table.
- Past due payments will automatically accrue interest, if you checked off the "Charge Interest" field. The interest rate is based on the interest rate you have specified for this Client. The interest amount will be entered and the amount paid towards this Invoice will be reduced by this amount. If you wish, you can override it or zero this amount.
- If the payment received exceeds the amount due for the current Invoice, the extra amount will be memorized for this Client. Just go to the next Invoice and click the "Apply Extra" button.
- The system will track bounced checks or let you store payments in a list for later application.
- If the amount due (because of interest) is too small for you to bother your Client with repeated Statements, you may cancel the due amount.

In the Contact Manager you can do the following:
- Keep track of conversations with your clients.
- Add notes to follow up on important prospects.
- Enter as many dated notes on your Clients as you wish.
- Each note can be virtually as long as you want.
